RETAIL SCHEDULE MAKER · DEPARTMENT ROSTER
Retail Schedule Maker
Build a store-ready rota by department and day. Start with editable opening, trading-peak and closing shifts, assign cashiers and sales associates, check keyholder coverage, and move any shift as your store changes.
My Store Roster
Example roster ready — edits save on this device.
Click an empty department/day cell to add a shift. Drag a staff card into another department or date to reassign it. Click to edit; drag its bottom corner to extend or shorten duration. Touch devices can use the editor for precise changes.
Coverage is measured against optional minimums you define, not predicted store traffic.
Overlaps, handoffs & short rest
Only same-person overlap is a conflict. Rest review is configurable guidance—not a legal ruling.
Department workload
Compare planned net hours, keyholder assignments and split-shift days before sharing a roster.
Make every trading period visible—not just the names on a rota.
The busiest checkout queue, an early truck delivery and the final till close are different staffing problems. This schedule separates departments and makes their time commitments visible without pretending to know your point-of-sale data.
Register and till coverage
Schedule cashiers, opening float preparation, afternoon queues and closing procedures with exact start and end times.
Customer assistance
Balance selling-floor availability with checkout and service-desk assignments. Parallel shifts for different associates are expected.
Receiving and replenishment
Place receiving, stocking and inventory work around deliveries rather than automatically treating every staff member as customer-facing.
Pickup and online orders
Assign staff to picking, staging, packing and collection windows, with separate coverage targets for those tasks.
Opening and closing oversight
Mark keyholder responsibilities explicitly and check a user-defined minimum for important windows. The label does not verify authorization.
Break-adjusted workload
Review gross scheduled duration, unpaid-break deductions, overlap warnings and potentially short turnarounds between shifts.
How to create, edit and review a retail employee schedule.
Use this detailed workflow to turn the fictional ready-made rota into your own dated store plan. The editor records actual dates and times, not only repeating labels.
Choose a ready-made retail strategy
Start with Everyday Store when you want balanced weekday departments. Weekend Peak adds more customer-facing coverage on busy days; Online Pickup & Stock emphasizes fulfillment and receiving. Blank Roster creates an empty draft. All sample names and targets are fictional, and switching preset replaces the draft only after confirmation.
Read the store department × day board
Columns show actual dates from Monday to Sunday. Rows identify Checkout, Sales floor, Customer service, Stockroom, Fulfillment and Management. Each card gives the associate, scheduled time and duty. Work in the correct department first; a checkout assignment and a stockroom assignment should not be treated as interchangeable.
Add a new shift in an empty department cell
Select a department/day cell, or use Add Shift, then enter a team member, exact start and end times, unpaid break minutes, shift label, store zone and optional notes. Use the keyholder checkbox only when that shift has been assigned opening/closing responsibility. An end time earlier than the start automatically represents the following day.
Move an associate or change shift duration
Drag an assignment to another department and date using a pointer. The original time and duration are preserved during a department move; open the editor when the new day needs different clock times. The small resize corner changes the end time in 15-minute increments. Click a card to edit, duplicate or delete it; precise keyboard/touch changes are available through the form.
Define opening, peak and closing minimums
Open Coverage Rules and set a date, trading window, department or grouped responsibility, minimum number of unique staff, and start/end times. Groups include customer-facing roles, store operations, any associate and keyholder/manager. A coverage check measures each time segment and highlights the periods where scheduled matching headcount falls below your chosen value.
Read same-person overlap and short-rest warnings
Two different people working overlapping shifts is normal. A conflict appears when the same named person has intersecting intervals, including overnight shifts. A separate rest review highlights short time between one shift ending and the same associate's next shift beginning. Review thresholds are configurable and do not represent legal compliance or employee availability approval.
Manage store workload and breaks
Gross hours count the scheduled clock interval; net hours subtract recorded unpaid-break minutes. Exact break start times are not stored, so the coverage checker does not reduce active staff counts during breaks. Verify break timing, rest, part-time availability and overtime requirements with the actual store policies before publishing.
Prepare for deliveries, promotions and seasonality
Update the fictional baseline for real promotions, truck arrivals, inventory counts, new-product launches, school holidays or pickup volume. The tool does not import POS footfall, forecast sales or calculate labor budgets. Enter the staffing minimums using evidence and judgment from your business.
Copy a week and recover mistakes
Next/Previous Week changes the visible dates without deleting other weeks. Copy Week duplicates the current week seven days ahead and skips exact duplicate assignments. Undo and Redo reverse recent in-page edits. Use Download JSON Backup before clearing storage or replacing the site code so you can recover the full roster including coverage rules.
Export or send your schedule for review
CSV contains dated retail shift details for spreadsheet review. Coverage CSV lists time periods below your requirements. ICS creates dated calendar events, Print/PDF opens the browser print workflow, and JSON includes all editable shift and rule details. Cloud Save uses the site's existing Supabase account; do not assume a successful cloud save until the confirmation appears.
Use My Schedules without altering your account settings
When signed in through the global ScheduleFlowLab header, Save to My Schedules writes a named cloud schedule plus event records. Your separate My Schedules page remains the account workspace, and Account Settings remains the place for identity/security controls. Guest editing is available without signing in, with local autosave where browser storage permits.
Complete the store manager's final review
Confirm associate availability, approved time off, cross-training, opening/closing authorization, delivery timing, keyholder handovers, break arrangements and applicable notice or hour restrictions. This editor reports scheduling arithmetic and user-defined coverage targets; it does not make employment-law decisions, guarantee sales or confirm eligibility to operate equipment.
What to look for before opening, during peaks and after closing.
The specific clock hours vary by store. Use these practical checks when building your own coverage rules instead of copying sample staffing levels unquestioningly.
Prepare to trade
Keyholder present, registers prepared, replenishment and safety checks assigned, truck deliveries staffed if scheduled.
Protect customer service
Monitor cashier demand, floor assistance, service-desk needs and online-order pickup, and avoid unplanned break gaps.
Secure and recover
Confirm keyholder handoff, register close, zone recovery, stockroom security and final staff departure schedule.
Answers about store scheduling and what this tool actually checks.
Built for planning and review, not payroll, labor forecasting, timesheets or automatic publication to employee devices.
Can I edit the built-in retail schedule?
Yes. Every starting assignment is editable. You can change the employee, department, date, clock times, unpaid break, shift label, keyholder flag, location and notes or delete and replace it.
Does it show different departments on separate rows?
Yes. Checkout, Sales floor, Customer service, Stockroom, Fulfillment and Management use separate rows. You can still add other department labels in the edit form, which display in the Operations row for visibility.
What is a keyholder coverage gap?
It is a time segment where fewer matching shifts carry keyholder/manager responsibility than the minimum you entered. The flag is based on labels, not verified training, actual availability or security authorization.
Can two different associates work at the same time?
Yes. Concurrent teamwork is expected; overlapping times are flagged only when the same person has two assignments at once.
Can I assign early deliveries or overnight inventory work?
Yes. Set any start time and end time. When end precedes start, the shift is treated as passing midnight for duration, overlap and calendar export.
How does the store coverage checker work?
It evaluates matching scheduled unique people across your selected time interval. It reports any segment whose count is lower than your manually entered target.
Does the schedule account for meal breaks?
It subtracts unpaid-break minutes from hour totals, but it does not know when those breaks happen. Breaks are not automatically removed from coverage intervals.
Does the page predict footfall or calculate payroll?
No. It does not access POS traffic, forecasts, wages, paid leave, overtime or commission rules. Use approved data and policies for those decisions.
Can I save on multiple devices?
Guest edits stay in the current browser. If you are authenticated through the site's global account system, optional Cloud Save records the roster in My Schedules; use a JSON backup as an additional portable copy.
What should I do before publishing a team roster?
Verify colleague availability, necessary training, approved leave, opening/closing responsibility, break placement and local requirements. ScheduleFlowLab is a draft planner, not an employee notification system.
Move shifts, check department coverage and share a clearer retail plan.
Begin with a ready-made week, adapt it to your store and export the schedule after your own review.
